GoHighLevel agency for businesses that live on inbound enquiries
If your week is enquiries arriving from six places and somebody remembering to chase them, this is the tool that fixes it. We build the account properly: pipelines named after your business, follow up that runs on a timer, and a calendar that fills itself. A GoHighLevel agency working with service businesses across the US, UK, Canada, Australia and New Zealand.
What it actually replaces
Most clients arrive paying six separate bills for tools that do not talk to each other. The honest pitch for HighLevel is not that it beats each one at its own job. It is that the CRM, the texts, the funnels and the calendar finally share a single contact record.
Where the saving really comes from
- One contact record, so a reply to a text updates the same deal your calendar is looking at
- One bill instead of six, usually a few hundred dollars a month lower
- One place to look when something did not fire, instead of three support chats
- Unlimited sub-accounts on the agency plan, which matters across more than one location or brand
When we tell people not to switch
If your email list is the business and you live in advanced segmentation, a dedicated platform still wins and we will say so. The same applies if you rebuilt everything somewhere else this year, or if your team is already fluent in a CRM that works. Moving tools has a cost that nobody puts on the invoice.
- Heavy email segmentation belongs on a dedicated platform
- A CRM your team already knows beats a better one they do not
- If nothing is leaking, there is nothing here worth paying for
What we set up inside the account
A GoHighLevel automation build is mostly these six. The order depends on where your leads leak now, which is what the first call works out.
Pipelines that match how you sell
Stages named after what actually happens in your business rather than the default opportunity stages. Every enquiry from your forms, live chat and phone arrives as one contact with the source kept.
Missed call text back
A missed call sends a text within seconds asking what they needed. For a trades or home services business this single automation often covers the cost of the whole account.
Calendars and booking
Round robin across a team or a single calendar, with reminders by SMS and email so no-shows drop. Bookable straight from a funnel or from inside the text conversation.
Review requests and reputation management
Fires after the job is marked complete rather than before, and routes an unhappy reply to a human instead of sending it to Google.
Funnels and landing pages
Built inside HighLevel where the form, the pipeline and the follow up already share a contact, rather than bolted onto a separate site with a connector in between.
Conversation AI where it earns its place
Genuinely useful for qualifying and booking outside office hours. We switch it on for the narrow jobs it does well and leave anything needing judgement with your team.
One account, ninety days later
The clearest result we have from a HighLevel build, with the full case study behind it.
The store had no abandoned cart follow up, so it kept losing the same buyers at the last step. We connected a full snapshot to the storefront, set up cart text messages, added post purchase upsells and tagged customers so repeat buyers could be marketed to separately.
No clever trick, just messages that go out on a timer instead of when somebody remembers, and that stop the moment the customer replies or buys.
Automation makes an existing process faster. It does not create demand. If nobody is filling in the form, the problem is upstream:
- No traffic is a search and advertising problem, not a CRM one
- A price nobody will pay stays unpaid, faster
- A service people do not want gets declined more efficiently
- A team that will not update the CRM still will not update it
- A broken handover between sales and delivery breaks on schedule instead
We would rather tell you that on the first call than take the build fee.

Why we do not just install a snapshot
A GoHighLevel snapshot is a saved account setup that can be dropped into a sub-account in about a minute. They are genuinely useful and we build one for you. What a snapshot is not is a finished system.
- It carries structure, not your stage names, your service list or your pricing
- A bought snapshot arrives full of somebody else’s assumptions, and usually a few dead links to their brand
- The value is in the hours after it lands, renaming and rewiring it around how you actually work
- Yours is handed over at the end, so you can reuse it on the next location, brand or sub-account
If you have already bought one and it is half working, that is a fair place to start from. We will audit it and tell you what is worth keeping.
What lands in your account
- Pipelines and stages named in your language
- Sequences with sending windows and stop rules set
- Calendars, reminders and the missed call text back
- Review requests wired to your job completion trigger
- A written map of what runs and what sets it off
Plus the snapshot itself, exported and yours.
How a build runs
Two to four weeks for most single location businesses, and the slow part is never the building.
Days one to three: work out how you sell
A call with whoever actually answers the phone, then a written map of your stages, your services and your rules. Most of the value of the whole build gets decided here, not in the building.
Week one to two: build it in your account
Pipelines, sequences, calendars and funnels built inside your own sub-account, with sending windows, time zones and stop rules set before anything can reach a customer.
Before launch: test it on yourselves
We run real enquiries through it with your team watching, including the awkward ones. A missed call at closing time, a duplicate lead, somebody replying stop. Nothing goes live until you have seen it behave.
Launch week: switch on and watch
Turned on, then monitored for a week while the first real leads run through it. You finish with the snapshot exported, the documentation written and a walkthrough recording.
What it costs, both halves
There are two separate bills here and it helps to see them apart. One goes to HighLevel and one goes to us.
What you pay HighLevel
Their own subscription, paid to them directly, never through us. At the time of writing the Starter plan runs about 97 US dollars a month for a single sub-account, the Unlimited plan about 297 for unlimited sub-accounts and GoHighLevel white label branding, and the Pro plan about 497 where API access and reselling come in. There is a 14 day free trial, which is long enough to see the pipeline working.
- Billed monthly by HighLevel, cancel with them
- Check current pricing on their site before you budget
- Most single location businesses need the first or second tier
What you pay us
A one off build fee, typically 1,500 to 4,000 US dollars depending on how many pipelines, sequences, funnels and calendars the business actually needs, and how much of your existing data has to be cleaned before it moves. Quoted as a fixed number after the first call, not hourly.
- The first call and the written scope are free
- Fixed price, agreed before anything is built
- Optional monthly support afterwards, or none at all
GoHighLevel agency questions
This sits under our business automation services, alongside Salesforce.
Not sure it is the right tool?
Tell us how enquiries reach you now and who chases them. We will say on the call whether HighLevel is the answer or whether you are better off elsewhere.
Do I have to buy GoHighLevel through you?
No, and we would rather you did not. Open your own account in your own name with your own card so you keep control of it. Some agencies resell it and hold the login, which makes leaving them painful. Ours is a build fee, and the account stays yours from day one.
How long does a build take?
Two to four weeks for most single location businesses. Week one is working out how you actually sell and what the stages should be called. The rest is building, testing against real scenarios and handing over. The store case study above took two weeks end to end.
Is GoHighLevel better than HubSpot or Pipedrive?
For a service business running on inbound calls and texts, usually yes, because the texting and the calendar are built in rather than bolted on. For a larger sales team that needs serious reporting, Salesforce is the better answer and we build that too, on our Salesforce page. We are not loyal to either.
What if I already have an account somebody else set up?
That is a good share of our work. We audit what exists, tell you plainly what is worth keeping, and rebuild the parts that cannot be trusted. The usual finding is a long workflow with no stop rule that has been texting people after they already replied.
Can you work as our GoHighLevel consultant rather than building it?
Yes. Some clients have somebody in house who can do the work but wants a second pair of eyes from a GoHighLevel expert on the structure before they commit. That is a shorter engagement: the map, the stage names, the rules and a review once you have built it.
Will it text my customers at three in the morning?
Not if it is set up properly. Sending windows, time zones and quiet hours get configured before anything goes live, and every sequence has a stop rule so a reply ends the chase. Getting this wrong is the fastest way to make a good tool look like spam.
What happens if I want to leave?
You keep everything. The account is in your name, the snapshot is yours to export, and the documentation is written for somebody who was not in the room while we built it. No part of this is held hostage.
Tell us what you need and we will show you how we would do it
Share a few details about your business and what you want to fix or build. It could be a new website, a WordPress site that keeps breaking, SEO that has stalled, or a sales process that needs automating. We will come back with honest advice, even if that means a smaller job than you expected.
A reply within one business day
A real person on the team reads your message and replies, usually the same day.
A free review of your current setup
We look at your website, rankings or systems before we talk, so the call is useful.
A written proposal
You get a clear scope, timeline and price in writing before any work starts.
